Job DescriptionTitle: Administrative AssistantReports to: VariesDirect Reports: N/ASalary Grade: SUMMARY: Serves as an administrative assistant. Provide clerical support to management such as answering phones, greeting guests, making travel and meeting arrangements, preparing reports, submitting facilities maintenance requests, meeting and event planning, and providing other support, as needed. JOB REQUIREMENTS:

  • High school diploma
  • Previous office experience with some administrative skills preferred
  • Self-confidence, poise and executive presence; relates well to senior executives, internal and external customers and community leaders
  • Strong customer service orientation
  • Strong technology skills, including advanced skills in Microsoft Office programs
  • Excellent organizational and project management skills
  • Forward looking, proactive, self-starter and independent worker, yet collaborative in a team environment
  • Strong interpersonal, oral and written communication skills
  • Disciplined, appropriately firm and respected by others
    • Handles sensitive information requiring use of discretion, tact, diplomacy and judgment
    • Work requires willingness to work flexible schedule, with some work outside normal business hours
    • Participate in all required compliance training, including Bank Secrecy Act/anti-money laundering training, as well as internal and external training programs, online training, meetings, and seminars/conferences, etc. JOB FUNCTIONS:
      • Answers phones
      • Greet guests and vendors and direct to appointed office; maintain presentable front office area
      • Miscellaneous clerical duties such as scanning, filing, photocopying, mailing, etc.
      • Assist with arranging meetings and events and set-up including meals or refreshments, audio visual needs, etc.
      • Maintain conference rooms and break rooms
      • Maintain and monitor inventory of office supplies, order as needed
      • Assist with event planning and travel accommodations to include hotels
        • Distribute and check mail, prepare expense reports and process invoices for approval
          • Assist with coordinating logistics for new hires to include parking passes and access fobs
          • Submit facilities maintenance requests
          • Other duties as assigned
